Who we are
Harris County, Texas Roleplay ("HCTXRP") is a fan-run Roblox community. This policy explains what we collect when you use our website and how we use it.
Information we collect
- Account info: email address, display name, and a password (stored securely by our sign-in provider) if you register with email.
- From Roblox (when you approve access): your Roblox user ID, username, display name, and avatar picture. We also read your public Roblox group role to sync your rank.
- From Discord (when you approve access): your Discord user ID, username, and the list of servers you are in (server ID, name, and icon). We do not read your messages.
- What you submit: applications, ban appeals, support tickets, and fleet requests or tickets.
- Staff records: ranks, clearance levels, bans, and moderation notes linked to your account.
How we use it
To verify you are a real member; show your rank, title and clearance; check membership in blacklisted Discord servers; let authorized staff review applications, appeals and moderation history; respond to support requests; send you notices about decisions on your submissions; and keep our games and community safe.
Who can see it
Your data is visible to you and to staff whose role requires it (for example, department heads see applications to their department; moderators see moderation records). We do not sell your data or share it with advertisers. We use trusted service providers to host the site, store data, and send email.
Roblox and Discord tokens
We use the access Roblox and Discord grant only at the moment you link your account, to read the information above. We do not store your Roblox or Discord passwords. You can revoke our access at any time in your Roblox or Discord settings.
Retention
We keep your data while your account is active. Moderation records may be kept after account deletion to enforce bans.
Your choices
You can relink or refresh your accounts in the Member Portal, and request a copy or deletion of your data by opening a Support ticket.
Children
We follow Roblox and Discord age requirements. If you believe a child has given us information improperly, contact us through Support and we will remove it.
Changes
We may update this policy and will change the date above when we do.
